About Us

RAV Bahamas is the development group behind a luxury waterfront portfolio in Bimini, Bahamas, 50 miles from Miami, a world away from everything else. The portfolio spans residential communities (Rockwell Island, Illa Banyan, and signature residences) and marina assets (Bimini Bay Marina). OPAC Bahamas is our construction and operations arm. Every project on the island depends on materials, parts, and equipment that have to be sourced, bought, shipped, and received on time. Nearly all of it is bought and consolidated in Miami before it ships to the island. This role is the person who makes that happen.

The Role

You are the buyer for the group. Your single deliverable: every purchase request turns into a clean purchase order, gets the best price and lead time available, ships in the right container, and lands with the right paperwork, on dozens of open orders at once, without anything slipping. You live in the company's operations dashboard, your inbox, and your vendor list. You are extremely organized, comfortable with software, and unbothered by a high volume of moving parts.

What You'll Do

Purchasing

  • Turn requests from construction, heavy equipment, marina, and operations into complete purchase orders in the operations dashboard
  • Source and quote from multiple vendors; compare price, lead time, availability, and shipping terms
  • Place orders, confirm them, and chase order confirmations, invoices, and tracking

Vendor management

  • Build and maintain the vendor directory: contacts, terms, lead times, pricing history
  • Negotiate pricing and terms on repeat items; set up accounts with new suppliers
  • Resolve back orders, substitutions, wrong shipments, and returns

Logistics coordination

  • Coordinate with the warehouse and freight forwarder so orders arrive for the right container
  • Track what is in transit, what is late, and what is short; re-ship short quantities
  • Keep customs and shipping paperwork (invoices, packing lists) complete and filed per order

Records & follow-through

  • Keep every PO current: status, expected date, cost changes, notes
  • Match invoices to POs and receipts; hand clean records to accounting for QuickBooks
  • Close out orders once received and reconciled

Reporting & communication

  • Give requesters a straight answer on where their order is at any time
  • Deliver a weekly open-orders report: late, at-risk, awaiting approval, awaiting payment
  • Flag price spikes, recurring vendor problems, and items worth stocking

What Success Looks Like (first 90 days)

  • Every open request logged as a PO in the system by end of month 1, nothing living only in email or WhatsApp
  • Vendor directory complete for all active suppliers by month 2
  • Weekly open-orders report running by month 2 and trusted by the field
  • Requesters stop asking "where is my order" because the system already says

Requirements

Must have: applications missing any of these will not be considered

  • 5+ years of purchasing / procurement experience, including buying construction, electrical, plumbing, or building materials
  • 2+ years of shipping and logistics experience: coordinating freight, containers, or export shipments with carriers and freight forwarders
  • Fluent in English and Spanish, spoken and written; day-to-day communication with our Bahamas team and many vendors is in Spanish
  • Authorized to work in the United States and able to work on-site in Miami, FL full-time

Also required

  • Proven ability to run a high volume of open orders at once without dropping any
  • Highly organized and detail-driven: clean records, clear follow-up, nothing forgotten
  • Tech savvy: fast and accurate in web-based software, spreadsheets, email, and shared documents; quick to learn a new system
  • Comfortable negotiating price and terms with suppliers in both languages

Nice to Have

  • Purchasing for marine or hospitality projects
  • Bahamas customs or Caribbean export experience
  • QuickBooks or ERP / procurement software experience
  • Familiarity with heavy equipment or marine parts

Personal Characteristics

Extremely organized · thrives on volume · tech savvy · fast learner · relentless follow-up · calm under pressure · straight with numbers and dates · takes ownership · does not need chasing.

How to Apply

To apply, include your resume and a short note on the highest volume of open orders or tasks you have managed at one time: how you kept track of them, what tools you used, and how you made sure nothing slipped. State your years of purchasing experience, your years of shipping experience, and confirm you are fluent in both English and Spanish. Applications that do not include this will not be reviewed.
